LOGISTICS & SET UP
Create a detailed timeline 45 days out
Greet all vendors and guide them to set up area
Ensure ceremony décor/space is set up correctly
Check flowers are set up according to the order
Confirm timing & logistics with DJ/band/emcee
Ensure they can correctly pronounce any/all names
Meet with catering staff to confirm food timeline
Meet with all venue staff to review overall flow
Cocktail Hour set: place cards, guest book, gift table
Reception set: Table numbers, cake cutting, favors
Misc. décor set: Wedding signage, photos, etc.
Ensure reception décor/space is set up correctly
Confirm table decor/place settings are set correctly
Check each table has the correct number of chairs
Review final set up with a contact before guests arrive
CEREMONY
Schedule a rehearsal to ensure a polished ceremony
Review cues & standing points with wedding party
Ensure musicians on site & direct where to set up
Meet with officiant & musicians to review all details
Ensure photographer & videographer are in place
Direct guest ceremony seating as guests arrive
Corral wedding party & family members 15 min prior
Line up everyone in order for the processional
Review walking speed, smiling, ect. with group
Ensure officiant/music is in place to start
Cue music when group is ready to begin ceremony
Direct everyone walking when to enter/smile/speed
Assist/direct any late guests to avoid interruptions
Direct guests after ceremony according to flow
RECEPTION
Ensure proper flow of Cocktail Hour food & drinks
Help guests locate gift table & place cards
Ensure caterer is ready based on timeline
Direct guests to help them find their tables
Locate wedding party & line up for introductions
Cue band, DJ/band/emcee for wedding party intro's
Collect gifs/cards and ensure their security
Ensure meal is served based on timeline
Big Moments: first/parent dances, cake cutting, toasts
Cue emcee/photographer/video for big moments
Ensure key family members are aware of big moments
Cue/Direct anyone making toasts for smoothness
Be accessible to wedding couple for special requests
Manage any misc vendors (photo booth, dessert, ect)
Distribute final payments/gratuities to vendors at end
